FACILITY USE / RENTAL

When do I need to reserve the facility?
At least three weeks prior to your function.
What hours am I billed for?
Users are billed for each hour plus set up and cleaning time. Building hours are calculated based on the number of hours staff and/or the user group is on-site for user’s activity/event. Users are billed for any hours used, or part thereof.
Why is the custodian paid for additional hours?
The custodian arrives prior to the agency’s beginning time, as stated on the application, to deactivate the security system and to do a preliminary facility check. The custodian remains on site and is available to provide assistance to the agency during the event. When the agency’s program is completed and all participants have departed the premises, the custodian must clean and secure the facility. As for set up, the hours requested on the application are the hours that your group has permission to use/occupy school facilities and should reflect set-up, rehearsal, program, and take-down times.
What if I only need the room for an hour?
There is a minimum two-hour facility fee.
How late can the event last?
The individual/agency’s event should conclude no later than 10 p.m. with participants and audience vacating the facility within 30 minutes. Extended vacating time will bring charges to the occupant. (Exceptions must be approved by the Assistant Superintendent.)
When is payment due?
Facility, personnel and equipment fees are due ten business days prior to the event.
Who do I make the check payable to and where do I send it?
Make the check payable to Dysart Unified School District and mail/deliver it to: Dysart Unified School District, Community Education Department, 15802 North Parkview Place, Surprise, Arizona 85374
How do I cancel the event/activity?
A written cancellation notice from the user, which will cancel the entire invoice, must be received in the Community Education office five business days prior to the invoice beginning date to cancel an agency’s payment liability.
Can I meet at the school for longer than one year?
A one-year limit shall exist for the use of a school facility by a specific group; all agreements end on June 30. If a request for renewal must be submitted to the Community Education office and will be evaluated for renewal.
When can I advertise my activity?
Advertising may occur after the agency has received written confirmation (invoice) from the Dysart Community Education office. Verbal and written communications about your event should include the agency’s address and phone number. Please note, the Dysart Unified School District may not be listed as a sponsor in your advertisement.
Can I place signs on school grounds to advertise the event?
Signage may be displayed only during rental hours.
If my agency is a for-profit group but the activity is for fun or charity, do I still have to pay for-profit rates?
Yes
Can I pass out flyers/advertisements at the school(s)?
Written approval from the Dysart Unified School District is required prior to the distribution of your flyer to any Dysart school. To obtain permission, contact the Community Education office at 623.876.7064.
Do I need insurance?
Yes. Every Dysart facility use requires insurance including sports, dance and exercise activities. Events which traditionally involve greater-than-average risk of bodily injury to participants and/or observers require a minimum general liability insurance coverage of $1 million to $2 million depending on class level category. Contact your insurance agent for this coverage.
Will school personnel be on duty?
Yes. The Community Education Director determines the amount of supervisory, custodial and/or security personnel hours needed for the event.
Can the custodian volunteer his/her time?
No. To comply with the Fair Labor Standards Act, custodians may not open, close, or clean the buildings on a voluntary basis.
Can I store my “stuff” at the school?
No. There is no storage space available at Dysart school facilities.
Can I leave set pieces, props, stage floors, and equipment set up for the entire rehearsal and performance dates?
Stage set-up accommodations must be requested on the application; additional fees will be charged and the request must be approved by the building principal.
Can I use the school’s supplies and equipment?
School supplies may not be used; however, equipment may be used if available & requested, for an additional fee.
Will the air conditioning/heating be turned on?
Yes, when your application is approved, the information is sent to energy management for scheduling. However, Dysart does not guarantee air conditioning or heating. There is no guaranteed refund due to their failure.
